Job Description

Voiceover is for training modules for Enterprise Document Management. Used internally.

Welcome to the Enterprise Document Management for Product Strategy Teams training module. To continue, click on a module listed on the left of the screen. You may select any module, though it is recommended that you complete the modules in sequential order.

Product Strategy Teams, or PSTs, and sub-teams have three distinct roles within EDM Teams that contribute to document management: Folder Users, Folder Owners and Content Managers. To learn more, select the topic you would like to learn about.
As a PST member, you are responsible for creating, maintaining and managing documents and folders within EDM Teams. Click the ‘Start Demo’ button to learn more.

Everyone working with the PST folders is a Folder User. Individuals creating documents are responsible for understanding the folder structure and permissions model in order to apply the appropriate settings.

Folder Users access and update documents within EDM Teams.

Folder Users must also be able to create and share documents.

You will find more information about basic EDM Teams functionality in the “Using EDM Teams Effectively” section.

Folder Owners have roles and responsibilities beyond those of Folder Users. For the purpose of this training, the demonstration you will see will use a ‘mock’ folder structure.

PST members have additional responsibilities beyond that of a Folder User. PST members are also Folder Owners, meaning that they are accountable for managing and maintaining the folder structure of their respective sub-teams.
All PST members (GPMs as well as GXLs) share accountability for the PST folder and sub-team folder structures.

GPMs are responsible for working with their fellow PST members to define a detailed folder hierarchy that works for the team by making these types of decisions.

In addition, GPMs establish and communicate document security guidance across a program, including who has access to various documents. They also educate new PST members on doc mgmt and accountabilities. However, GPMs are NOT responsible for placing individual documents into the folders. This is the responsibility of the individual creating the document.

Each PST member is a Folder Owner for his or her respective sub-teams. Folder Owners are accountable for managing and maintaining their defined folder structure. For example, the Global Commercial Leader is responsible for defining the folder structure for the Global Commercial Team. The same responsibility applies for all PST members.


Similar to Global Program Managers, all PST members (have document management responsibilities for their functional sub-team folders.

GXLs ensure sub-team folders are designed to be a collaboration space for each GXT.

GXLs need to take ownership of their sub-team folder to define an appropriate sub-team folder structure and to ensure sub-teams are utilizing the space to store documents properly.
